Our First Herodesk Meetup of 2025

Last Monday marked a milestone for Herodesk: our first team meet-up of 2025.

After months of working remotely, we finally got to hang out in person, catch up, and plan for the year ahead.

Remote Work is A Balancing Act

The last time I saw Sara in person was when I delivered her laptop a few days before she started working with us.

That’s just how it is when you’re fully remote.

No daily run-ins, no coffee machine banter. Instead, our world happens on Google Meet and through customer calls.

I’ve got to admit - remote work suits me.

I’ve been more productive in the last 18 months than ever before.

I don’t miss the small talk, but I get that some people do, and that’s totally fine.

For us, the occasional in-person meetup adds a layer of connection that even the best video calls can’t replicate.

That was the purpose of our 2025 Q1 meetup.

Finding the right Spot

When planning the event, I knew we needed a space that matched our vibe: casual, efficient, and welcoming.

Renting a boring-ass conference room at a hotel just didn’t feel right.

Lucky for us, I’ve got a SaaS buddy in Aarhus running a ~100-person business who let us borrow one of their meeting rooms for the day.

The setup was perfect: a small conference table for focused discussions, a large screen for coworking, soft seating to switch things up, and, perhaps most importantly, unlimited coffee.

Since Sara lives just a 75-minute drive away, we decided to make it a one-day event.

A Thoughtful Agenda

I planned the meetup for a few days after our advisory board meeting so we could hit the ground running and put the findings from the AB meeting into action.

I also made sure to keep the agenda flexible to leave room for casual conversations and catching up. Essential when you only have one day together.

Here’s how we structured the day:

09:00 AM: Monday morning kick-off

09:30 AM: Morning work session – Refining our ideal customer profile (ICP), strategic goals for 2025, and shared values

12:30 PM: Lunch at a great local restaurant in Aarhus

02:00 PM: Afternoon work session – Defining Q1 priorities, projects, and must-win battles

05:00 PM: Wrap-up and end of the day

I didn’t want to over-schedule the day. A meetup like this isn’t just about work; it’s about reconnecting, sharing stories, and having a laugh or two.

Mission accomplished 👌

Preparing for the meetup took me about half a day, and it was time well spent.

Our values, work approach, customer focus, and priorities must be crystal clear to pull in the same direction.

Takeaways and Looking Ahead

For me, the biggest takeaway was having a great day with the people I work with daily and genuinely like.

For the company, we're crystal clear on our Q1 priorities and ready to tackle our must-win battles.

Moving forward, we’ve planned quarterly meetups - one or two days long - to keep the momentum going.

These will sync with our advisory board meetings, ensuring our goals and actions stay on track.


Remote teams are everywhere now, but I still think that finding that balance between digital and face-to-face can be difficult.
